Invoices that post themselves straight into accounting.
An incoming invoice arrives by e-mail — the agent extracts it, matches it to the order and sends it for approval. Nobody re-keys anything by hand.
Month-end on a merry-go-round
The accountant re-keys line items from a PDF or scanned invoice into the ERP — slow and prone to typos in the amounts.
Invoices are matched to orders or delivery notes by hand — hunting through e-mail, spreadsheets and binders eats time that could go elsewhere.
Month-end means tracking down missing invoices, fixing errors and pressure to close the books — always at the last minute.
Step by step, from delivery to posting
A concrete flow — not promises. And just as important: what the agent deliberately does not do.
By e-mail, via a supplier portal or scanned — we connect to whatever you already use.
Supplier, company/VAT ID, amount, tax point, due date and individual line items.
It finds the matching order or delivery note in the ERP and verifies that the amount and quantity agree.
Based on the history of similar invoices, it suggests the account code and cost centre.
The responsible person sees the invoice and the proposed match and approves with a single click.
Once approved, the agent posts the invoice — error rate under 1%.
A missing order, a mismatched amount or a new supplier always goes for review first — the agent doesn’t guess.
Boundaries that build trust
It doesn’t pay invoices itself — a person always initiates and confirms the payment.
It doesn’t add new suppliers to the system without approval.
It doesn’t decide on disputed amounts or mismatches — those always go for approval.
The input from you is deliberately small
- Access (an API or an account) to your ERP or accounting system — Helios, K2, Pohoda, Money S5, Business Central, SAP, Abra, Karat, Byznys or Oracle NetSuite.
- The way invoices reach you today — an e-mail inbox, a supplier portal or a shared folder. You don’t need to change it.
- A few dozen historical invoices to train the matching and coding on.
Your data stays with you
We process data in your own infrastructure or in an EU cloud, as you prefer; both transfer and storage are encrypted.
Processing complies with GDPR and the AI Act; for sensitive data we offer on-prem operation.
Only the roles that should have access to the data do, with an approval and audit trail.
What to expect
From our practice: a trading company (82 people, metals sector) — invoicing and other agents gave it back roughly 1,420 hours a year, with the whole programme paying back in 3 months. We’re happy to provide a specific reference from your sector at a meeting.
What people ask us most
Does it work with Pohoda, Helios, K2 or Money S5?
Yes, we connect to common Czech and international ERP and accounting systems. If you use something else, get in touch — it’ll most likely work too.
What if the invoice is a phone photo or hard to read?
The agent can cope with lower-quality scans. Where it isn’t sure, it doesn’t guess the item, but sends the invoice to a person for review.
Do we have to change the way invoices reach us?
No. We connect to what you already use — an e-mail inbox, a supplier portal or a shared folder.
Who approves the invoice?
Always a person responsible for purchasing. The agent prepares everything for approval; it doesn’t pay or approve on its own.
What happens to an invoice the agent can’t match?
It flags it as an exception and hands it to the accountant for manual processing — nothing slips through unnoticed.
We’ll show you on your own invoices.
30 minutes, no commitment. We’ll walk through how invoices reach you today and tell you what to do about it — and how much it saves.
